A work tote is the bag you use most. It goes on the train, under the desk, into meetings and onto the kitchen table at the end of the day. Because it works so hard, it is also the bag that shows wear first. A tote that lasts is not about luck: it comes down to the material, the shape, the details and how you look after it. This guide covers what to check before you buy, so your next work tote still looks good years from now.
If you are still deciding on the basic style and size, start with our guide to choosing a leather tote for work. This article goes one step further and focuses on what makes a tote last.
1. Start with the leather
Leather is the main reason a good tote lasts longer than a fabric one. It resists everyday rubbing, it can be wiped clean, and it develops character over time instead of looking tired. When you compare bags, read the material line in the product details. A clear description, such as "croc-embossed Italian leather with a suede lining", tells you much more than a general phrase like "premium material".
The finish matters too. Embossed and textured leathers, such as croc-embossed or pebbled finishes, are forgiving: the pattern helps hide small scratches from keys, zips and train floors. Smooth leather looks clean and minimal, and marks show more easily, although light scuffs can often be buffed out with a soft cloth. If you want to learn more about the material itself, read how to tell real Italian leather.
2. Choose structure over slouch
A structured tote keeps its shape around a laptop, a notebook and a water bottle. It stands up on the floor, it is easier to pack, and the leather is put under less stress because the weight is spread evenly. Very soft, slouchy totes can look lovely when empty, but with a full working load they bend in the same places every day, and that is where creases and wear appear first.
For example, the Maxima Croco Tote has a structured 48 × 30 × 14 cm body in croc-embossed Italian leather, sized to take a 15.6" laptop, so it keeps a neat line even when it is full.
3. Get the size right
A tote that is too small gets overfilled, and an overfilled bag stretches at the opening and strains its straps. A tote that is far too big tempts you to carry more than you need. Think about what you actually carry on a normal day, then choose a size with a little room to spare.
- A 15.6" laptop, notebook and lunch: choose a large tote with a stated 15.6" fit, such as the Maxima Croco or the smooth-leather Maxima Tote.
- A 13" laptop or tablet and documents: a slim tote, such as the Viviene Tote (45 × 35 × 6 cm), is lighter and sits close to the body.
- No laptop, just daily essentials: a medium tote such as the Trastevere Tote (26 × 36 × 14 cm), with two compartments, keeps things organised without the bulk.
4. Check the straps and handles
Straps carry all the weight, so they are where a weak bag fails first. Look at how wide the straps are and how they attach to the body. Wider straps spread the weight across your shoulder and put less strain on the joins. Check the drop too: around 25 cm or more lets you wear the tote on the shoulder over a coat. A bag that only fits in the hand will be carried awkwardly and wear unevenly.
A removable strap is a useful extra. The Alinari Tote, for instance, has two top handles plus a removable leather strap, so you can switch between carrying styles and spread the wear.
5. Look at the lining, closure and pockets
The inside of a tote wears as much as the outside. A soft lining, such as suede, protects your laptop and stops the inside from looking scruffy. An inside zip pocket keeps keys away from your laptop screen and from the leather. A magnetic closure is quick to use and has fewer parts to break than a long zip, while a zip keeps everything secure on busy trains. Choose the one that suits your commute.
6. Pick a colour you will still love
A tote that lasts also needs to stay in your wardrobe. Black, grey and camel are the easiest colours to wear every day and in every season, and they show less wear. Red and white are beautiful statement choices; white needs a little more care, so wipe it regularly and keep it away from dark denim. If you want one work tote for everything, choose a neutral first and add a colour later.
7. Care for it every week
A few small habits make a big difference to how long a leather tote lasts:
- Empty it once a week, so it is not permanently stretched by things you do not need.
- Wipe the leather with a soft, dry cloth, and avoid alcohol-based cleaners.
- Keep it away from radiators, direct sunlight and damp, which dry out or mark leather.
- If it gets wet, let it dry naturally at room temperature, never on a heater.
- Store it in its dust bag, stuffed lightly with paper so it keeps its shape.
- Do not hang a heavy tote by its straps for long periods.

8. Rotate if you can
Leather lasts longer when it has time to rest. If you commute every day, rotating between two bags, for example a large tote for laptop days and a smaller shoulder bag for lighter days, means each one carries less weight and keeps its shape for longer.
A quick checklist
- A clear material description, ideally leather with a named finish.
- A structured shape that suits your daily load.
- A stated laptop fit, if you carry one.
- Wide, securely attached straps with a shoulder-friendly drop.
- A soft lining and an inside zip pocket.
- A colour you will wear for years, not one season.
